Job Title: Administrative Assistant
Location: Poole & Dorset
Salary: Hourly Rate: £11.44 (age 21 and over) Initial three month review period on suitability and salary
Hours: Approx. 16 Hours per week
Responsible to: Trustees
THE CHARITY
Waggy Tails Rescue is a registered charity based near Poole and Bournemouth. The Waggy Tails story is about happy dogs, happy people and happy homes. We always put the animal first – then the rest will follow.
We have a no destruction policy. No healthy animal is ever put to sleep, which means that as well as rehoming we also look after dogs in long term foster homes. These tend to be dogs who are too ill or too old to be re-homed but we feel that these “oldies” have a right to a dignified and happy retirement. We need foster homes and sponsorship for our “oldies” whose vet bills are consistently high!
JOB PURPOSE
To be responsible for aspects of the day-to-day administration of the charity office, ensuring it operates effectively, efficiently and professionally. The role supports the Trustees of the Charity and includes answering emails and giving information regarding all aspects of the charity.
MAIN DUTIES AND RESPONSIBILITIES
- Creation and updating of publicity materials.
- Information on the dogs seeking homes.
- Review and amendment of documentation
- Maintaining an Access database.
- Input into bi annual newsletters and marketing campaigns to relevant businesses.
- Assistance with fund raising materials and associated publicity.
- Supporting the animal welfare team with administrative tasks.
- Receiving and handling cash.
- To respond to enquiries from the general public and supporters via email, telephone and written communication where appropriate.
- To ensure that the records held by the charity are up to date and manageable and can be reported on to the trustees in preparation for the Charity Commission.
- To undertake other such duties and responsibilities commensurate with the role as and when required
- Holiday cover.
APPLICANT SKILLS
- Working knowledge of all Microsoft Applications – Word, Excel & Publisher essential
- Knowledge of Access Database preferred
- Experienced in image creation and editing
- Good telephone manner
- Good communication skills to deal with members of the public and the ability to work with a small team.
- Ability to maintain confidentiality and an understanding of GDPR
- The nature of the Charity means that emotions can run high at times – the ability to remain calm under pressure is essential.
- Ability to work flexibly and adapt quickly and positively to change
- A sense of humour is vital.
